General Manager Job Description

Purpose:� To supervise, plan for and coordinate successful co-op operations; to meet the goals established by the Board of Directors, as derived from the strategic plan.

Status:� Reports to Board of Directors

Responsibilities:

I. Operations

  1. Set margin and sales goals storewide and carry out promotions and storewide merchandising efforts.
  2. Ensure compliance with all applicable laws: licenses, permits, health regulations, workers comp, employment security, etc.
  3. Ensure adequate insurance for all co-op operations.
  4. Ensure cleanliness and security of building, equipment and inventory.
  5. Coordinate expansions, moves and major remodel, repair and maintenance projects.
  6. Negotiate leases and repairs with landlords as needed.

II. Finance

  1. Ensure preparation of timely financial reports to the Board of Directors on financial performance of the co-op.� Provide financial analyses of current operations and future plans.
  2. Prepare timely annual capital, operating, and cash flow budgets for Board approval.
  3. Monitor deviations from budget, take corrective action, and report to Board on actions taken.
  4. Ensure maintenance of timely and accurate accounts payable, payroll, and financial records from bookkeeper and other financial services.
  5. Approve budgeted capital expenditures over $500.
  6. Develop proposals and negotiate for financing as directed by Board.

III. Planning

  1. Coordinate preparations for annual business plan with capital, operating and cash budgets, for final board approval.
  2. Coordinate long-range planning process with Board.
  3. Investigate new business opportunities, and make recommendations to Board on expansion, relocation, acquisitions, and conduct negotiations as agreed.
  4. Set performance objectives for managers and departments.
  5. With Board President, plan Board meeting agendas.
  6. Ensure participation in regional and national co-op industry organizations.

IV. Human Resources

  1. Ensure development of cost-effective, equitable, legal personnel policies and practices and submit to Board for final approval.
  2. Coordinate hiring of staff; approve initiation of hiring for all positions.
  3. Ensure orientations and on-the-job training for all staff, and staff development to retain and promote qualified employees.
  4. Promote a safe and healthy workplace for employees, establish channels for employee input and recognition, ensure maintenance of up-to-date, confidential personnel files, and take disciplinary action as needed following established policies.
  5. Approve pay increases for employees within storewide payroll allocation.

V. Outreach

  1. Set marketing and advertising strategies as included in the annual business plan.
  2. Coordinate co-op-sponsored public events.
  3. Oversee advertising program and other marketing strategies.
  4. Oversee merchandising programs to ensure coherent in-store images.
  5. Carry out Owner Services goals as developed by the Board.
  6. Make presentations to membership meetings and write GM report for member newsletter.
  7. Act as public spokesperson for the co-op or delegate to other staff as needed.

VI. Other

  1. Perform other tasks as assigned by the Board.
  2. Attend Board and committee meetings as assigned by the Board.

Board of Directors Job Description

Why join the board?
Board membership at the co-op can be a satisfying way to contribute to our community. It is also a great way to learn about a number of subjects that, believe it or not, are quite fascinating: the food industry in general, and natural foods in particular; the economics and management of small businesses; alternatives to traditional economic structures - in particular the cooperative model for economic democracy.

The board's job
The top level job of the board is to assure that the co-op effectively serves its membership within the scope of the mission of the organization. Our mission statement can be found in section 1.2 of our bylaws.

More concretely, there are four aspects of the work:

1) Member linkage: gathering input from the membership, and monitoring whether its goals and expectations are being met.

2) Setting direction: interpreting mission and membership expectation in terms of practical (but still high level) goals for the organization.

The actual work of the co-op is carried out by its staff and management. The board does not concern itself with operational details, but instead delegates this responsibility to the general manager. Accordingly, the third major aspect of the board's work is:

3) Hiring a general manager, and monitoring her or his performance against the goals.

4) Insuring the board's own effectiveness and perpetuation.

The above definition of board duties reflects the fact that the co-op board has recently adopted a style of work known as "policy governance".

Time commitments
The board meets for about 2 hours each month - currently, at 6pm on the fourth Tuesday of each month. In addition, board members generally serve on a committee, some of which meet once a month, and some less regularly. There are occaisonal meetings on special topics - for example, we have had two special meetings concerning policy governance in the past year.

Qualifications
In order to serve on the board, you must be member of the co-op, and you must not have any overiding confict of interest.
